Hiring Range: $62,338 to $72,156
Hours: 8:00am to 5:00pm

We have an exciting opportunity to work in the Equity and Inclusion Department to help us continue to advance our equity agenda and make a real difference for City of Durham employees and residents.

The Equity and Inclusion Department is responsible for leading the work to embed equity and inclusion considerations into organizational policies, practices, procedures and, programs. Our work involves identification of institutional barriers and the development of strategies, processes, procedures and programs to ensure access, opportunity and a level playing field for all.

This position is devoted to providing clerical and office support as well as event planning and project management activities for the Equity and Inclusion Department. The person hired for this position will perform advanced administrative support for the department to include paraprofessional analysis work. Responsibilities will include budget coordination; purchase order creation; time-card processing; basic research; data compilation, preliminary recommendations formation; report creation, and sourcing for ADA complaints from Durham residents. The person in this position will also be responsible for coordinating workflow, and outreach and collaboration with all levels of the organization, as well as outside agencies, residents and elected officials. This person will also supervise interns as requested/assigned.

Duties/Responsibilities

Facilitate department fiscal activities including payroll, timekeeping, expense processing and budget administration.
Prepare correspondence, manuals, and public information materials, including information for city council agenda items.
Provide calendaring coordination and support for department leadership.
Support contract processing, administration and procurement activities.
Coordinate staff meetings and manages meeting requests.
Perform administrative duties for department staff and boards, committees and commissions including, meeting with chairs, managing communication with and between board/committee members and Director, developing agendas, inviting speakers and meeting management.
Provide logistical support for department and board, committee and commission programs and events, including facility rental, event planning, vendor selection and vendor and event management.
Perform independent research, compile data, performs basic analyses and generate reports summarizing findings.
Supervise temporary personnel and interns, including coordinating onboarding and training, attendance monitoring, and assigning, and monitoring work.
Serve as lead for specialized databases and software systems and participate in database and software testing.
Create and maintains internal and external websites.
Coordinate workflow and implement improvements to processes.
Track employee participation in department programs and events and generates training reports.
Serve as escalation point for resolving customer service issues and inquiries and ensures follow-up communication and quality assurance.
Serve as the liaison for messaging between Equity and Inclusion and the Communications and Human Resources Departments.
Conduct research, develops graphs and creates messaging that celebrates diversity and promotes inclusion and belonging
Serve as first point of contact for ADA referrals and complaint processing for residents.

Competencies:

Zoom and Microsoft Teams, including meeting scheduling and management.
Expertise in the Microsoft Suite - Word, Excel, and Outlook.
Experience in document sharing and database creation and management.
Ability to use MUNIS, Canva, NEO-Gov, and/or Smartsheet a plus.

Minimum Qualifications & Experience

Associate’s degree in business or related field.
Three years of advanced administrative support experience.

Additional Preferred Skills

Five or more years of advanced administrative support experience working within a local, state, and/or federal agency.
Introductory knowledge of diversity, equity and inclusion is a plus.
Excellent customer service skills.
Strong oral and written communication skills.
Strong organizational/project management skills.
Strong computer skills, including proficiency in the Microsoft Office 365 suite.
Experience in document sharing and database creation and management
Experience in using Zoom and Microsoft Teams, including meeting scheduling and management.
Experience with MUNIS, Canva, and Smartsheet a plus.
Ability to multi-task to manage multiple projects to meet deadlines.
Must be able to write clear, concise plans and reports and make public presentations.
Demonstrated ability to work with a variety of stakeholders.
Self-starter, enthusiastic, proactive, and team oriented.
