Job Description: Administrative (Ministry) Assistant
Classification: Part-time Position – Non-Exempt
Job Summary: The role of the Administrative (Ministry) Assistant is to manage all activities of the church office, including maintaining a welcoming environment for all visitors to the church. The Administrative Assistant will provide support to all Church staff and volunteers. This position will handle many aspects of behind-the-scenes communication, administration, and logistical duties to support the church as well as additional job responsibilities as assigned.

Basic Responsibilities
Administrative Support: Provide administrative support to the Senior Pastor and other staff members and ministry leaders as needed. Create a welcoming environment while performing tasks including receiving guests, scheduling meetings, making travel arrangements, and responding to voicemails, emails, etc. Maintain and update church records (for attendance, membership, etc.) using the church database software and provide weekly reports to the staff. Answer, screen, and route all phone calls to the appropriate staff member.
Newsletter/Bulletin: Publish the weekly Sunday bulletin, the weekly Wednesday prayer list, and the KBC newsletter. One of the Pastors will edit the bulletin, prayer list and newsletter prior to printing.
Email and Mail Retrieval and Dispersal: Check emails throughout the day and direct them to the appropriate Staff member and/or respond to church members in a timely manner. Maintain a database of KBC members’ email addresses to be used as needed for church wide emails for prayer and other requests. Distribute mail to the proper staff and committee members.
Correspondence: Produce all correspondence in a professional manner. Prepare letters, emails, phone tree, birthday/anniversary cards as directed by the Pastor. File all correspondence promptly and properly.
Church Calendar: Maintain the church, fellowship hall, events, and committee calendars.
Housekeeping: Maintain primary workspace and keep other areas of the church neat, clean, and orderly after use. Monitor and promptly address issues related to the contracted cleaning company. Follow protocol for items in need of repair or items that may be viewed as a safety issue. Direct all items the Building and Grounds Committee Chairperson.
Computer Files: Maintain a filing system for the church, storing older files in a proper and confidential manner.
Library/Resource Center: Catalogue all media materials and audio-visual equipment and display neatly. Maintain up to date accurate records of all materials on loan.
Purchases: Purchase all office, kitchen, bathroom supplies, and other church needs, upon approval of the Pastor.
Materials/Documents/Other Support
· Make copies.
· Store and manage hardcopy and electronic documents, including passwords, backups.
· Manage all hard-copy and online subscriptions.
· Prepare docs for staff and leadership team meetings.
· Go-between for all technical support for phone, laptop, printer, and all technology
Confidentiality: Maintain strict confidentiality in all matters regarding the church. Church staff discussions, communications, and sensitive materials must be held in strict confidence and not released or conveyed to church members, outside agencies or persons.
Office Hours: This is a part-time, hourly position for around 18, but no more than 20, hours per week. Unless changed by the Pastor; office hours will be 5 hours per day from 9:00am – 2:00 pm, Monday through Friday, with a 1-hour lunch. Time out of the office during these hours may be granted upon permission of the Pastor. This position reports to the Senior Pastor (the Associate Pastor if no Senior Pastor is available).
Travel: No travel is expected for this position; however, if a travel need arises, mileage will be reimbursed based on the IRS guidelines.

Minimum Qualifications:
· High school diploma. Prior church or nonprofit administrative experience preferred.
· Proficiency in office equipment and software, such as Microsoft Office (Word, Excel, PowerPoint, Outlook), and familiarity with church management software. Knowledge of databases and online communication tools is desired.
